Customs formalities

We help arrange customs brokerage services together with freight transport – we help collect the necessary documents and coordinate the preparation of declarations and communication with customs brokers or customs offices. This is one of our logistics services, which we tailor to the needs of the client’s cargo.

Why choose customs brokerage services together with transport?

A cargo’s journey across a border is not limited to transport alone – documents, declarations and duties also need to be properly handled. When customs brokerage services are coordinated together with transport, the client does not have to look for a broker separately or coordinate information between several different parties.

We help collect the necessary documents, coordinate the declaration process and respond more quickly if customs or the customs broker requests additional information. This reduces the risk of unnecessary delays and helps plan the movement of the cargo more smoothly.

We do not provide customs brokerage services ourselves. Customs declarations are prepared and submitted to customs by the customs brokers we work with, while we coordinate their work together with the freight transport so that transport and customs formalities are aligned with each other.

When may special customs procedures apply?

Depending on the movement and destination of the cargo, transit, customs warehousing or another customs procedure suitable for the specific situation may apply. Together with the customs broker, we help assess which procedure is required and which documents need to be prepared for it.

Which customs documents do we help coordinate?

Together with customs brokers, we coordinate the preparation of import, export and transit declarations and help assess whether all the necessary information and documents have been provided – invoices, documents of origin, transport documents and other information required for the specific goods or route.

Based on the information about the goods provided by the client, we help clarify the applicable commodity code with the customs broker. This code determines the applicable duties, restrictions and additional requirements. If there is any doubt about the code, we recommend confirming it separately before the declaration is submitted.

How are duties and taxes calculated?

Based on the commodity code of the goods, the customs value, origin and other data applicable to the specific import, we can provide a preliminary estimate of possible customs duties, VAT and other charges. The final amounts depend on the data provided in the declaration and on the customs assessment.

The client can estimate the possible costs in advance, before the cargo is transported. We also help to agree the payment process in order to reduce the risk of the cargo being detained or delayed due to documents, formal discrepancies or late payments. The price of customs brokerage services depends on the nature of the cargo, the countries involved and the number of documents required, so we provide an exact amount after assessing the specific request.

How do we coordinate communication with customs?

If customs decides to inspect the cargo or requests additional information, we help coordinate the responses between the client, the customs broker and the carrier. This helps respond to requests more quickly and reduces the risk of the cargo getting stuck at the border due to unclear or delayed information.

It is important that the client provides accurate documents, the description of the goods, their value, origin and other information that may be needed for customs formalities in good time. When documents are prepared in advance, customs procedures usually run more smoothly.

When are these services particularly relevant?

Customs brokerage services are particularly relevant when transporting cargo to countries outside the European Union, such as Ukraine, Turkey or Switzerland. In such cases there are more formalities, and an error in the documents can hold up the cargo at the border.

Customs brokerage services are also useful when specific import or export requirements apply to the cargo, when documents of origin, licences or permits are required, or when customs duties and other taxes need to be assessed before the transport is confirmed.

FAQ

Which customs brokerage services can be coordinated together with transport?

Together with the transport, we can help coordinate the preparation of import, export and transit declarations, the selection or clarification of the commodity code, the estimation of possible duties and taxes, document checks and communication with the customs broker or customs offices. This way the client does not have to coordinate transport and customs formalities separately.

When might you need a customs broker?

Customs brokerage services are most often needed when importing or exporting goods outside the EU customs territory, carrying out transit procedures, or when additional customs requirements apply to the goods. We help assess the specific situation and, if necessary, coordinate the formalities with the customs broker.

How long do customs formalities take?

The duration depends on the cargo, the procedure and the documents provided. If all the necessary information has been provided and no additional coordination is needed, the declaration can be prepared quickly, but customs inspections, additional permits or data clarifications may extend the timeframe.

What information is needed for customs formalities?

Usually we need the cargo route, consignor and consignee details, the invoice, the cargo description, value, weight, number of packages, origin of the goods, commodity code, the CMR consignment note and other documents if they are required for the specific goods or country. If it is unclear which documents will be needed, we help assess this based on the specific situation.

Can I submit the documents myself, or do you coordinate everything?

The client can provide the documents they have, and we help assess what may still be missing for the declaration or customs formalities. If a document is missing, we tell you exactly which one is needed and when it should be provided, in order to reduce the risk of the cargo being detained or delayed due to documents, formal discrepancies or late payments.
